Scope of Services

This project entails the full design, development, and launch of a custom brochure-style website for Clarke&Co. Accountants, using WordPress as the CMS. The website will prioritise user-friendliness, responsiveness, and a design that reflects Clarke&Co.'s professional reputation. It will include custom content types, security measures, and post-launch support. The final product will enable Clarke&Co. to manage content independently, while maintaining a polished and professional look across all devices.

Custom Website Design

The website design will be bespoke, tailored specifically to Clarke&Co.'s branding and business goals. It will reflect a professional, modern aesthetic, providing a user-friendly interface for both clients and administrators. I will present design mockups for the homepage, including header and footer, for your approval before moving to development.

Responsive Mobile-First Design

The website will be optimised for mobile-first viewing, ensuring an excellent user experience across all devices (smartphones, tablets, and desktops). This will include responsive design elements, ensuring smooth interaction regardless of screen size.

Services Section with Custom Post Types (CPT)

Each service offered by Clarke&Co. will be represented by an individual page with detailed information. These pages will be linked through a master archive page, enabling potential clients to explore services easily. I will set up a custom post type (CPT) in WordPress, which will allow Clarke&Co. to add or modify services over time without needing any technical knowledge.

"Meet the Team" Page

A custom team page will be created, showcasing key team members, including photos, bios, and contact details. This helps create a personal connection with clients and builds trust. Like the services section, this will be created using a CPT, allowing for easy updates.

SEO-Friendly Structure

Even though SEO is not a priority for Clarke&Co., I will ensure the website follows best practices for on-site SEO. This includes clean URLs, proper meta tags, alt text for images, and site structure that will ensure future searchability should it be needed.

Contact Page and Call-to-Action (CTA) Elements

I will develop a Contact page with a contact form, email links, and embedded maps to help clients easily reach Clarke&Co. Additionally, a floating “Call Now” button will be implemented on mobile for quick client access.

Style Guide

If required, I will create a style guide that includes brand colours, typography choices, and design elements to ensure consistency across the website. This guide can also be used for future design decisions and brand materials.

Stock Images and Custom Imagery

I will provide stock images to complement the design and will replace them with high-quality images supplied by Clarke&Co. once available. These images will reflect the business's branding and services, ensuring visual consistency.

Blog/News Section

I will set up a blog or news section where Clarke&Co. can post company updates or industry news. This will be designed to encourage easy updates and content management by the team through WordPress’s back end.

Content Writing Assistance

Initial website copy will be generated using either Lorem Ipsum placeholders or generated with the help of a language model (LLM). Clarke&Co. will be responsible for reviewing, proofreading, and supplying the final copy for accuracy. I can assist in formatting and ensuring consistency across all pages.

Secure Site with SSL and GDPR Compliance

I will secure the website with a Let's Encrypt SSL certificate, ensuring encrypted connections for visitor data. Additionally, I will include basic GDPR compliance features, such as cookie consent banners and privacy policy links.

Optimised Website Performance

The website will be optimised for performance, including fast loading times and efficient code. I will also install caching plugins and optimise images for faster load times across all devices.

Hosting Setup on AWS

The website will be hosted on AWS, with the first year of hosting included in the package. I will manage all technical aspects of the hosting environment, ensuring smooth operation.

DNS Setup and Email Support

I will assist Clarke&Co. with linking their domain (clarkeandconi.co.uk) to the website. While I do not offer email services, I can provide guidance on setting up professional email addresses through Office 365 or similar services.

Training

I will provide basic training and documentation to Clarke&Co. on how to use the WordPress back end, including how to update services, team profiles, and blog posts. This will enable them to make routine updates without needing additional support.

Post-Launch Support and Maintenance

After the website launch, I will provide ongoing support for 1 year, including daily backups and minor content updates as needed. Any major updates or additional features beyond this period will be available through a maintenance package.

Additional Recommendations

In addition to the core website features outlined in the scope of services, there are several optional enhancements that could further improve the functionality and user experience of the Clarke&Co. website. These recommendations aim to future-proof the website and provide additional value through advanced features, security enhancements, and improved client engagement.

Enhanced Performance Optimisation

To further improve site speed, I suggest implementing a content delivery network (CDN) like Cloudflare. This will distribute your content across multiple servers globally, reducing load times and improving site performance for visitors outside the UK. This will require Clarke&Co. to share name servers to me.

Regular Maintenance Package

After the initial post-launch support, a regular maintenance package could be beneficial. This would include monthly updates to WordPress, plugins, and themes, along with security scans, performance optimisation, and content updates as needed. It ensures that the website remains up-to-date and secure long-term.

On-Site Analytics Dashboard

To help Clarke&Co. track visitor behaviour and improve user experience, I recommend integrating Google Analytics and/or Microsoft Clarity. This will provide easy access to key metrics such as page views, user locations, and device types and offering valuable insights

Enhanced SEO Setup (Future Use)

Although SEO isn’t a current priority, I recommend structuring the website in a way that can easily accommodate future SEO efforts if needed. This includes using SEO-friendly URLs, installing a plugin like Yoast SEO, and ensuring that each page is properly optimised for search engines.

The timeline for the project will be structured in phases to ensure that each step is completed thoroughly and meets Clarke&Co.’s expectations. Your Investment

The total investment for the design and development of your custom website is £1500. This price covers the full scope of services, from initial consultation through to post-launch support, ensuring that your website is built to the highest standards. The website will be tailored to meet Clarke&Co.’s needs, providing a professional, responsive, and user-friendly platform for your business. As part of this package, one year of hosting is included at no additional cost. After the first year, you will have the option to renew the hosting through our service, with various packages available to suit your ongoing needs. The price also includes SSL security, basic training, and full content management system (CMS) integration using WordPress, allowing you to easily manage and update your website in the future. Please note, as I am not VAT registered, no VAT is charged on this amount. Prices quoted are in GBP. The payment link located on this page is for half the amount (£750) to get the project started. Once the website is built the final amount is owed before the website is put live onto a domain

Terms & Conditions for Custom Website Projects

1. Services Provided

1.1 Scope of Work We offer custom website design and development services tailored to the unique needs of each client. The scope of each project is outlined in the respective proposal. Any additional features, services, or revisions beyond the agreed scope may incur additional costs. 1.2 Content Management System All websites will be built using a Content Management System (CMS) such as WordPress, unless otherwise specified. This ensures ease of use for clients who wish to update their content independently. 1.3 Project Flexibility We understand that project needs may evolve. Changes to the agreed scope, such as adding new features, redesigning elements, or adjusting functionality, will be accommodated where possible. However, any such changes may affect the timeline and incur additional charges, which will be communicated in advance.

2. Client Responsibilities

2.1 Content Provision Clients are responsible for providing all required content, such as logos, text, and images, in a timely manner. If content is not provided by agreed deadlines, placeholder content may be used until the final materials are supplied. We are not liable for inaccuracies in client-provided content. 2.2 Access and Credentials Clients must provide access to necessary platforms (e.g., domains, DNS settings, hosting accounts) for us to complete the project. If preferred, clients can grant us permission to manage these aspects on their behalf.

3. Payment Terms

3.1 Project Fee The project fee will be determined based on the scope of work outlined in the proposal. A non-refundable deposit, typically 50%, is required before work commences, with the balance due upon completion or as per the payment schedule agreed in the proposal. 3.2 Additional Costs Any additional services or requests outside the original scope of work will be quoted separately. This includes, but is not limited to, additional revisions, added functionality, or content creation beyond what was initially agreed. 3.3 No Refund Policy All payments are final and non-refundable. Once work has commenced, the deposit is non-refundable under any circumstances. Should the client terminate the project before completion, any work already completed remains chargeable and will be billed accordingly.

4. Timeline

4.1 Project Timeline The timeline for each project is determined based on the scope of work and outlined in the proposal. Any delays in receiving client feedback or necessary materials may result in a delay in project completion. 4.2 Delays We are not responsible for delays caused by external factors beyond our control, including client delays, third-party service interruptions, or unforeseen technical issues.

5. Revisions and Approvals

5.1 Design Revisions Each project includes a set number of revisions, as outlined in the proposal. Additional revisions beyond the agreed number will incur additional charges. Clients must provide clear feedback at each approval stage to avoid unnecessary delays. 5.2 Approval Process Client approval is required at key stages of the project, including design drafts and final website testing. Once a stage is approved, further changes to that stage may incur additional costs.

6. Intellectual Property

6.1 Ownership Upon full payment, the client will receive ownership of the custom design and website files. Until full payment is made, all work remains our property. We reserve the right to use completed work for portfolio and promotional purposes. 6.2 Third-Party Licences Any third-party materials used in the website (e.g., stock images, plugins) are subject to their respective licences. The client is responsible for complying with these licences.

7. Access and Permissions

7.1 User Access Clients will be provided with appropriate access to the CMS for managing their content. Full administrative access will remain with us to ensure the website's security and ongoing integrity. 7.2 Unauthorized Changes We are not responsible for any issues arising from unauthorized changes made by the client or third parties after the website is launched. If such changes affect the website's performance, additional fees may apply for repair or support services.

8. Post-Launch Support

8.1 Initial Support Period We provide a limited support period after the website launch for minor adjustments and technical support. The duration and scope of this support will be specified in the proposal. 8.2 Ongoing Maintenance Ongoing maintenance and support services are available and can be arranged separately. This may include updates to plugins, security patches, and content updates.

9. Hosting and Domain Services

9.1 Hosting Services If hosting is included as part of the project, it will be provided for an initial term (typically one year), after which the client will need to renew hosting services at the agreed rate. Failure to renew hosting may result in website downtime. 9.2 Domain and Email Management We can assist with domain setup and management, but domain registration and email services (e.g., Office 365) are the client’s responsibility unless otherwise specified in the proposal. We do not provide direct email hosting services but can guide clients through setting up their preferred email solution.

10. Confidentiality

10.1 Non-Disclosure We treat all client information as confidential and will not share details with third parties unless necessary to complete the project or with client consent. However, we may showcase completed projects in our portfolio unless the client requests otherwise.

11. Limitation of Liability

11.1 No Performance Guarantees While we strive to deliver high-quality work, we do not guarantee specific outcomes such as increased traffic, sales, or search engine rankings unless explicitly stated in the proposal. 11.2 No Warranties We provide services "as-is" without warranties of any kind, whether express or implied. We are not responsible for issues caused by third-party services (e.g., hosting providers, plugins) or client actions (e.g., unauthorized changes). 11.3 Liability Cap Our total liability for any claim related to the services provided will not exceed the total amount paid by the client for those services.

12. Termination

12.1 Termination by Client The client may terminate the project at any time by providing written notice. However, all payments made up to the termination date are non-refundable, and any work completed up to that point remains chargeable. 12.2 Termination by Provider We reserve the right to terminate the agreement if the client breaches these terms, fails to provide necessary materials, or does not make payments as agreed. In such cases, all work remains our property until full payment is received.

13. Governing Law

13.1 Jurisdiction These Terms & Conditions are governed by the laws of Northern Ireland, and any legal proceedings must take place within its jurisdiction.

14. Amendments

14.1 Changes to Terms We reserve the right to amend these Terms & Conditions at any time. Any changes will be communicated to the client in writing, and continued engagement with our services constitutes acceptance of the updated terms.
